The American University in the Emirates (AUE) is searching for an efficient Secretary for the Board of Trustees who will play a critical role in supporting the Board’s governance activities, ensuring effective communication, and maintaining compliance with all legal and regulatory requirements.
Qualifications & Experience:
- Master’s Degree in business administration or related field from an accredited university
- A deep understanding of the workings and flow of institutes of higher education, and effective functioning of an academic organization and corporate welfare issues and needs.
- Minimum of three years of experience in administration, preferably in higher education
- Must be bilingual (Arabic and English)
Skills / Training / Knowledge:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills in both Arabic and English.
- Very high degree of independence, responsibility, and judgment.
- Proficiency in Microsoft Office Suite and experience with other computer applications/software/tools.
- Strong interpersonal skills and the ability to work collaboratively with diverse groups.
Job Description:
The Board of Trustees Secretary provides administrative and logistical support to the Board of Trustees (BOT) of the American University in the Emirates through the appropriate and precise collection and sharing of information directly related to the BOT activities. The BOT Secretary ensures that the BOT is well informed and that its activities are well documented through detailed Minutes of the Meeting, supporting evidentiary documents, and appropriate delegation of operational authority to the President. The position requires a high degree of confidentiality and integrity. This position reports to the Chairperson of the BOT.
- Coordinate and manage the logistics of Board meetings, including scheduling, venue arrangements, and technology setup.
- Prepare and distribute meeting agendas, minutes, and relevant documents to Board members in a timely manner.
- Maintain comprehensive records of Board activities and decisions.
- Serve as the primary point of contact between the Board and university administration, faculty, and other stakeholders.
- Facilitate effective communication and information flow among Board members.
- Ensure that the Board operates in accordance with university policies, bylaws, and relevant regulations.
- Assist in the development and review of governance documents, policies, and procedures.
- Prepare reports and presentations for Board meetings, highlighting key issues and action items.
- Monitor follow-up on Board decisions and ensure timely implementation.
- Advise the Board on best practices in governance and provide insights on institutional strategies and initiatives.
- Support the Chair and other Board members in their duties as needed.
- Maintain confidentiality of sensitive information and ensure the integrity of Board operations.
