Job Summary

The American University in the Emirates (AUE) is seeking a dynamic Human Resources Officer to join our team. This role is best suited for a professional with strong HR operations experience, excellent organizational skills, and a proactive mindset. The successful candidate will support a wide range of HR functions, Oberatuib activities, employee relations, and performance management—ensuring alignment with UAE labor laws and AUE’s internal policies.

Note: Arabic language skills are a Must.

Minimum Qualifications and Experience

  • Master’s or Bachelor’s degree in HR, Business Management or a related field from an accredited university A minimum of 3 years’ experience in Oberations, employee Relations, performance monitoring and employee counseling.
  • Hands on experience working with HR system.
  • Knowledge of UAE Labour Law and practices.
  • Professional HR certifications are a plus
  • Proficiency in Arabic is mandatory


Job Description

  • Maintain up-to-date job descriptions for all employees, and ensure they are issued and signed by all new joiners.
  • Contacts employees for visa and passport, application renewals, and cancellation
  • Oversee the faculty and administrative staff orientation schedule and maintain records of attendance and orientation checklist.
  • Assist new joiners with on-boarding procedures, liaising with Software Development, ITD, and Facility Management to create new accounts and emails, and arrange office space setup.
  • Arrange trips/travel itineraries/flight and hotel bookings for new recruits, visitors, guests, and other university events and visits.
  • Prepare welcome onboard announcement templates for all new hires
  • Setup new employee files and follow the employee file checklist, ensure all necessary documents are available for the employee file and validating documents, and follow up with missing documents.
  • Oversee insurance requirements for the employees, including addition and deletion of members, and follow up with the insurance company for medical claims and reimbursements.
  • Conduct regular HR employee files, reports missing documents, and follow up with concerned faculty and staff.
  • Prepare reports for CHEDS and other special reports/statistical/analytical information to Management on different matters.
  • Organize employee-related activities, including Admin Day, Faculty Day, Birthday parties, and other related events for staff and faculty.
  • Provide employee services like employee letters, leave calculation, information, and assistance on HR and work-related issues, etc.
  • Identifying training needs for different departments, contacting training providers for training and development needs of the staff, following up with staff members to complete necessary training and workshops, and maintaining up-to-date reports.
  • Follow up with department and staff to complete the performance evaluation, including probationary report, issue confirmation letters, and maintain up-to-date reports.
  • Conduct Benchmarking for best practices related to human resources policies and procedures and amend them as and when requested.
  • Verify the leave applications and balance for faculty and staff.
  • Ensuring all faculty and administrative staff records are updated in HRIS System, Shared folder, and as hardcopies in employee personal files.
  • Provide employee services like employee letters, leave calculations, etc.
  • Coordinating with various companies for staff discounts and benefits.
  • Maintaining proper records for suppliers like travel agents and hotel reservation teams.
  • Assisting the Payroll Division with needed reports for Payroll
  • Maintains confidentiality and privacy of the documents recorded
  • Any other additional tasks as assigned

 

Location: American University in the Emirates (AUE), Dubai International Academic City
Salary: 8,000 per month (based on experience)
