The American University in the Emirates (AUE) is seeking a Campus Operations Officer to support and coordinate the effective day-to-day operations of the university campus. The role is responsible for ensuring a safe, efficient, organized, and well-maintained campus environment that supports the needs of students, faculty, staff, and visitors. The ideal candidate will coordinate campus services, transportation, facilities, assets, security, vendors, and operational activities while ensuring compliance with university policies and applicable regulatory requirements.
Qualifications & Experience
Bachelor’s degree from an accredited university or a higher diploma, with 3 to 5 years of relevant experience in campus operations, facilities, administration, or a related field, preferably within the UAE. The candidate should have strong organizational, coordination, and problem-solving skills, with the ability to multitask, prioritize responsibilities, and work effectively under pressure. Strong record-keeping and reporting skills are required, along with excellent communication and interpersonal skills, both verbal and written. Bilingual proficiency in English and Arabic is preferred. The candidate should be able to coordinate effectively with students, faculty, staff, suppliers, contractors, and external service providers, with flexibility in working hours and the ability to work independently as well as part of a team.
Job Responsibilities
1. Campus Operations
Coordinate and monitor daily campus operations to ensure the effective delivery of services to students, faculty, staff, and visitors.
2. Transportation Services
Coordinate with suppliers and service providers to ensure the timely provision of transportation and other campus support services. Monitor university transportation services and maintain related reports, records, schedules, and documentation.
3. Campus Inspections
Conduct regular campus inspections and report maintenance, safety, cleanliness, or operational issues to the concerned departments.
4. Facilities Coordination
Coordinate with facilities and maintenance teams to ensure that campus facilities, classrooms, offices, common areas, and other university spaces are maintained in accordance with university standards.
5. Operational Staff Coordination
Coordinate with office assistants, drivers, maintenance personnel, and other operational staff to ensure assigned tasks are completed effectively and on time.
6. Policies and Procedures
Support the implementation and monitoring of campus operational policies, procedures, and service standards.
7. Asset Management
Maintain accurate records of university assets, equipment, furniture, and other operational resources, including inventory, issuance, utilization, and related documentation.
8. Procurement and Supplies
Coordinate with the Procurement Department regarding the purchase, delivery, and installation of furniture, equipment, supplies, and other operational requirements.
9. Stores and Inventory Management
Assist in managing campus stores and ensure that inventory records are properly maintained and updated.
10. Security Coordination
Coordinate with the Security Department regarding access control, visitor management, lost and found services, incident reporting, and other campus security matters.
11. Access Card Management
Monitor access cards and related records and coordinate with the concerned departments regarding issuance, replacement, and deactivation.
12. Events and Special Activities
Support the coordination of campus events, activities, and special operational requirements as needed.
13. Internal and External Coordination
Liaise with internal departments and external service providers to resolve operational issues and ensure timely follow-up.
14. Compliance and Safety
Ensure that operational activities comply with university policies, procedures, health and safety requirements, and applicable regulatory standards.
15. Reporting and Documentation
Prepare regular operational reports and provide updates to the concerned supervisor regarding campus activities, issues, and service requirements.
16. Operational Improvement
Identify operational challenges and recommend practical solutions to improve campus services, efficiency, and the overall campus experience.
17. Emergency and Incident Support
Support emergency and incident response procedures and coordinate with relevant departments when required.
18. Other Duties
Perform any other duties and responsibilities assigned by the supervisor or management.
